Privacy notice

What we do with your personal data

Bristol City Council is the data controller for the purposes of the Data Protection Act 2018 and other regulations including the UK General Data Protection Regulation (UK GDPR), which means it determines what your personal data is used for and why it is collected.

The purpose of this privacy notice is to tell you about how we collect and use personal data in connection with our service. We may update this privacy notice from time to time. When we do this, we will communicate any changes to you and publish the revised privacy notice on our website.

What data we need to collect and use?

To provide this service, we will collect and use some or all of the personal information below:

  • Name
  • Email address
  • Telephone number

We get most of this information from you and from what we learn about you through your use of our services, but we may also get some information about you from: publicly available information, your organisation’s website or social media such as Linkedin.

How do we use your personal information?

We use this information for one or more of the following reasons:

  • For communicating the joint activities and work of the Western Gateway Partnership alongside invites to related events
  • To seek your views on different partnership initiatives.

Who else might we share your personal information with?

Sometimes we may need to share your information, but we will only do so where we have a valid legal basis to share data. We will only share the minimum information for each circumstance. We may share some of your personal information with one or more of the following:

Will my personal data be sent outside the UK?

No personal information is routinely sent or held outside the UK. Should the transfer of personal information outside the UK become necessary, it will only take place if permitted by law, and then only where there are appropriate safeguards in place to protect the data.

Personal information

Our legal basis for using your personal information is to carry out tasks performed in the public interest.

How long we will keep your personal information?

We will hold this information for as long as it is needed, or if we are required to do so by law. In practice this means that your personal information may be retained for the relevant period listed:

We will retain this data for 3 years from the time of last contact with you or until you notify us you no longer wish to receive communications.

After this, your personal information will be deleted.

Surveys

From time to time we will conduct surveys to establish information to assist us in gaining your direct thoughts and opinions on our public services.

Each Survey will invite you to participate; this will be classed as asking for your consent to participate; your information gathered at the time of the survey will be only used for that purpose of the survey and will not assume consent for any other purpose. Where Consultant companies (3rd parties) are used by Bristol City Council for a specific survey, these will be specified in the Survey’s purpose statement.

Details of the purpose and scope of the Survey will be made clear for each Survey we may ask you to participate in, this will provide you with the details for you to clearly decide if you want to consent to participate in the Survey.

Personal data collected during the survey will be deleted upon the completion of the survey analysis and will not be stored or used for any other purpose. Each Survey will request your consent each time you participate.

Participation in our surveys will not impact or influence any future mailing preferences in the future and unless otherwise stated your participation will be anonymous

Forms

The Western Gateway website contains webforms (such as the contact form) which can be used by visitors wishing to submit their contact details or other useful information. If you enter your details on the form, it is sent directly to a Bristol City Council email address.

When the email reaches Bristol City Council it is subject to the council’s privacy policy found here: https://www.bristol.gov.uk/en_GB/about-our-website/privacy. The council’s email systems are configured to automatically delete messages retained for more than two years.

Any data you submit will be used solely by Western Gateway and/or Bristol City Council for getting in contact with you or where applicable providing the services that you’ve requested.

Links to social media

The Western Gateway website has links to its social media pages and accounts. Western Gateway doesn’t collect any personal data through these links. Please check each social media platform for their privacy policies or contact them directly if you have any questions.

When we may share your data

Western Gateway and Bristol City Council may share your information without asking you if:

  • the law says we must
  • there is a risk of serious harm or threat to life.

Web statistics

Bristol City Council collects web statistics automatically about your visit to the Western Gateway website based on your IP address. This information is used by Bristol City Council, as a public authority, to facilitate its public task in providing services to as many people as possible. Bristol City Council uses Google Analytics for this purpose, your IP address will be deleted from the Google server after 38 months. Cookies

Western Gateway sometimes stores small files called ‘cookies’ on your computer or other device to help improve your experience on the website. Our cookies cannot be used to identify you personally.

Your rights as a data subject:

You have the right to ask for access to your data and where data is found to be inaccurate to have that data corrected. In certain circumstances you have the right to have data held about you erased, or the use of it restricted. You may be able to object to processing and may also have the right to have your data transferred to another data controller.
